VSynC Scribe Privacy Policy
Version 2026-11-03. Effective 3 November 2026.
VSynC Scribe helps doctors record a consultation, write the prescription and keep their notes, and lets patients keep their prescriptions and medical results and share them with the doctors they choose. This policy explains what we collect, why, who can see it and the choices you have. It follows the Data Privacy Act of 2012 (Republic Act No. 10173).
Who we are
VSynC Scribe is run by MedSolutions Technology and Innovation Inc., 9th Floor, Filinvest One Building, Filinvest Avenue, Alabang, Muntinlupa 1781, Philippines ("VSynC", "we"). Our Data Protection Officer can be reached at privacy@medsolutions.me.
What we collect
- Your account: your name, email address and the Apple or Google account you sign in with, and whether you use VSynC as a patient, a doctor or a clinic secretary.
- Patient records: name, age, sex, contact details, allergies, the prescriptions from each visit, appointments, and the medical results you add (photos or PDFs).
- Consultations: with the patient's agreement, the doctor records the consultation. From the recording we make a transcript, the doctor's notes and a draft prescription.
- Doctors: your PRC ID photo and the details on it, your specialty, clinic locations and schedule, and your signature for prescriptions.
- Clinic secretaries: the doctors you work for.
- Use of records: who opened a patient's record, and when.
- Your phone: a notification token, so we can tell you about your place in a queue or a shared result.
- Crash reports: when the app crashes or something goes wrong, the error, where in the app it happened, the app version and the phone model. They don't include your account, and we take email addresses and numbers out of them.
We don't use advertising or tracking, and we don't sell your information.
How we use it
- To run VSynC Scribe: keep your record, write consultation notes and prescriptions, send prescriptions by email, manage appointments and queues, and send notifications.
- To check doctors: we compare each doctor's PRC ID with the PRC's records and may suspend a doctor whose license doesn't check out.
- To check and improve the scribe: authorised VSynC staff may read consultation transcripts to check that the notes and prescriptions are accurate and to make the scribe better. Each reading is shown in the patient's Who opened your record.
- To make the scribe more accurate: when a doctor sends a prescription, we keep it next to the scribe's draft, with what the doctor changed and, if they say, why. This copy has the medicines only, not the patient. We also keep the medicine names each doctor uses most and the names they correct, and give them to Gemini with that doctor's next drafts so it spells them right.
- To keep VSynC safe and meet our legal duties.
Who can see what
- Patients own their record. You see your details, your prescriptions and your results, and you decide which doctors can see your record. You can stop sharing at any time in Sharing. When you ask a doctor for a day, your record is shared with them; if the visit doesn't happen, the sharing stops.
- Doctors see the records of patients who share with them, the prescriptions other doctors gave those patients, and the results each patient chooses to share.
- A doctor's notes from a visit are visible only to that doctor: not to the patient, other doctors or the clinic's secretaries.
- Clinic secretaries see what they need to run the doctor's clinic: intake, appointments and the day's queue.
- Transcripts aren't shown in the app. Only authorised VSynC staff read them, as described above.
- Service providers process information for us, under contract and only to provide VSynC: Google (Firebase and Google Cloud, where VSynC runs and stores information, and Firebase Crashlytics for crash reports; Gemini, which writes transcripts, notes and draft prescriptions and reads results), and Twilio SendGrid (email).
- Authorities, when the law requires it.
Recordings
The recording is uploaded so the transcript and notes can be written. It is deleted from our servers when the notes are done, and in any case within a day. The copy on the doctor's phone is deleted as soon as the notes are written; if the app is closed before then, it is deleted the next time the app opens or the doctor signs out.
Where it's kept
Your information is stored in Google Cloud data centres in Singapore. Gemini may process it in other countries. We protect it with encryption in transit and at rest, and access rules that limit each person to what they need.
How long we keep it
We keep your information while you have an account. Medical records, meaning a doctor's notes of a visit and the prescriptions, are kept as Department of Health rules require: 10 years after the visit, and a minor's at least until they turn 18. Then they are deleted automatically. Until then a doctor can't delete them: removing a note only hides it from their list, and VSynC can give it back to them.
Transcripts aren't part of the medical record: they are deleted 90 days after the visit. Recordings go within a day, as above.
When you delete your account:
- A record you started yourself is deleted, with your results. If a doctor saw you, the visits and prescriptions are kept, locked away with your name, age, sex and allergies (not your contact details), for the time above.
- A record a clinic created goes back to that clinic as its medical chart, as it was before you joined, with the visits that clinic recorded. Your results, your sharing with other doctors and the requests you made are deleted.
- Doctors: your profile, PRC ID, transcripts, recordings, schedule and staff are deleted. Your notes, and the records no patient has claimed that have visits, are kept, locked away, for the time above. Prescriptions already in patients' records stay, because they belong to the patients.
Records kept after an account is deleted can be read only by authorised VSynC staff, to answer the patient or a lawful request; each reading is logged. Some other records, such as the vetting of doctors, are kept as long as the law requires.
Your rights
Under the Data Privacy Act you can ask what information we have about you, correct it, object to its use, have it deleted or blocked, and get a copy. You can change most details and delete your account in the app (Settings › Delete account). For anything else, write to privacy@medsolutions.me. You can also complain to the National Privacy Commission (privacy.gov.ph).
Children and family members
A parent or guardian may keep the record of a child, or of a family member who has agreed to it. If you are under 18, ask a parent or guardian to keep your record.
Changes
If we change this policy, the app shows you the new version and asks you to agree before you continue.
